Your last job was fully remote. Or your startup operated out of a shared WeWork floor. Now a BGV check is underway - and you're wondering if "we didn't have a real office" is going to become a problem.

It won't. But you need to know what agencies actually look for when there's no corporate building to visit.

Remote-first companies break that assumption entirely. There's no building. HR might be one person working from Bangalore while the CEO is in Pune. The "office address" on your offer letter might be a co-working space that your company no longer uses.

None of this is fraudulent. But it creates verification gaps that worry job seekers - because they don't know how agencies handle it.

Here's how they actually do.

What BGV Agencies Check When There's No Physical Office

1. MCA Registration and Company Legitimacy

The first thing any agency does - remote or not - is verify that the company legally exists.

They check the Ministry of Corporate Affairs (MCA) portal for:

  • Certificate of incorporation
  • Registered address
  • Director names and DIN numbers
  • Company status (active, struck off, or under liquidation)

A legitimately registered company shows up clearly here, even if it operates entirely online. A co-working address as the registered office is completely normal and raises no flags on its own.

What can go wrong: If your former employer was an unregistered sole proprietorship or was struck off the MCA register, the agency will flag it - not because you did anything wrong, but because the company's legal existence can't be confirmed.

2. EPFO Records

This is the most reliable fallback for remote employment verification.

Your Universal Account Number (UAN) carries a contribution history that shows exactly which companies deposited PF on your behalf and for how long. It doesn't care whether the company had a physical office. It just records the financial transaction.

If your remote employer was PF-compliant, your EPFO record is clean, consistent, and fully verifiable - regardless of what their office setup looked like.

If your employer wasn't PF-registered (common in very early-stage startups or companies below the threshold), this fallback doesn't exist. In that case, payslips, bank salary credits, and form 16 become your primary proof.

3. Direct Contact With HR or the Founder

For small remote teams, there often isn't a formal HR department. BGV agencies know this.

In these cases, the agency will reach out directly to:

  • The person listed as HR on LinkedIn or the company website
  • The founder or co-founder
  • A designated point of contact your new employer has flagged in your application

They ask the same standard questions - your designation, dates, and conduct - just over email or a video call instead of in person.

What this means for you: Before your BGV starts, make sure your former manager or HR contact is reachable and aware that a verification call may come. A missed email or an inactive LinkedIn account delays your onboarding, not your candidacy.

4. Co-Working Space Address Verification

If your offer letter lists a co-working space address - like a WeWork, Awfis, or 91Springboard location - the agency verifies it differently from a dedicated office.

They confirm:

  • That the co-working space is a real, registered location
  • That your former employer held a membership or registered seat there during your tenure
  • That the address matches what's on your appointment letter or company registration

Most co-working spaces maintain member records and can confirm past tenants. Some BGV agencies have pre-established verification channels with major co-working networks for exactly this reason.

What this means for you: A co-working address on your documents is not a red flag. It's increasingly standard. The agency simply adapts its verification method.

5. Digital Paper Trail

For fully remote companies with no physical presence at all, the agency builds verification from documents alone.

This typically includes:

  • Offer letter and appointment letter on company letterhead
  • Payslips showing the company name and your designation
  • Form 16 (which links your income to a specific TAN-registered employer)
  • Bank statements showing consistent salary credits from the company's account
  • Email correspondence on company domain (sometimes requested as supplementary proof)

Together, these create a verifiable employment trail even without a single office visit.

Meet Arjun

Arjun spent three years as a Product Manager at a fully remote SaaS startup. The company had twelve people, no physical office, and an MCA-registered address at a co-working space in Hyderabad that they'd stopped using by the time Arjun joined.

When his BGV started at a large MNC, the agency couldn't complete a physical visit. So they:

  1. Confirmed the company's MCA registration - active and clean
  2. Pulled Arjun's EPFO records - three years of consistent contributions from that employer
  3. Emailed the startup's co-founder directly - who responded within 48 hours confirming Arjun's role and dates

The only reason it went smoothly was that Arjun had kept his payslips, his offer letter, and his UAN details ready - and had given the co-founder a heads-up that a verification request was coming.

What Remote Workers Should Do Before BGV Starts

You can't control how your former employer is set up. But you can control your preparation.

  • Keep your UAN active and check your EPFO passbook - confirm that your former employer's contributions appear correctly
  • Save all payslips and your form 16 - even if your startup issued them informally, they count
  • Make sure your offer letter and relieving letter show the company's official name and registered address - not just a Notion doc or an email
  • Give your former HR or founder a heads-up - a verification email going unanswered for two weeks is the most common cause of delay
  • If your former company has shut down, notify your new employer's HR proactively and bring your EPFO records and bank statements as primary proof

What Actually Gets Flagged (And What Doesn't)

Does not get flagged:

  • A co-working space as the office address
  • A fully remote company with no physical location
  • A small team where the founder doubles as HR
  • A company that has since changed its registered address

Does get flagged:

  • A company with no MCA registration or GST number
  • No EPFO contributions despite claiming full-time employment
  • An offer letter that doesn't match any verifiable company name
  • A company contact who denies your employment when reached

The pattern is clear: legitimate remote employment, properly documented, passes BGV without issue. The flags arise when the company itself can't be verified - not when it lacks a physical office.

The bottom line: BGV agencies have fully adapted to remote and co-working work environments. The verification method changes - but the standard doesn't. Keep your documents consistent, your contacts reachable, and your EPFO records in order. That's all it takes.
